Introduction
The Canadian Pharmacists Association (CPhA) is committed to protecting the privacy and security of your personal information. This Privacy Notice explains how we collect, use, store, and share your personal data in connection with the IPG Mentorship and Integration Project. By applying to participate in this project, you imply your consent to the collection, use, and sharing of your personal data as outlined in this notice.
Data Collection and Usage
- Types of Data Collected:
- International Pharmacy Graduates (IPGs): Name, phone number, date of birth, email address, address, languages spoken, preferred language, self-identification, legal/residency/work status in Canada, country and year of graduation, English language proficiency, stage in the licensure process, proof of PEBC evaluating exam success, proof of acceptance into the Nova Scotia streamlined pathway, proof of successful registration with the Quebec registrar, registration number (with provincial regulatory authority).
- Mentors: Name, phone number, email address, preferred language, self-identification, postal code, city/town, province, age range, registration number (with provincial regulatory authority), pharmacy name, pharmacy owner/manager name, hours of work.
- Purpose of Data Collection:
We use your Personal Information for the following purposes:
- Eligibility: To ensure participants meet Government of Canada eligibility requirements as per our funding agreement.
- Program Administration: To manage your participation in the Project, including matching mentors with mentees.
- Communication: To provide updates, respond to inquiries, and deliver important information about the project.
- Improvement: To analyze data and feedback to enhance the program's effectiveness.
- Legal Compliance: To comply with applicable laws and regulations.
Data Storage and Security
Your personal data will be securely stored on CPhA's local servers, cloud storage (SharePoint), and may transition to Salesforce. Access to data is restricted to authorized CPhA project staff and ACCES Employment staff, protected by industry-standard security measures, including multi-factor authentication.
Data Sharing
Personal data will be shared with ACCES Employment for eligibility verification, screening, and providing additional employment services and supports. Both CPhA and ACCES Employment act as independent controllers of the data and are responsible for complying with all applicable data protection laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and relevant provincial laws.
Retention and Disposal
Personal data will be retained until January 2029, after which it will be securely deleted or anonymized unless required to be retained longer by law.
Your Rights
You have the right to access, correct, and request the deletion of your personal information. You may also withdraw your consent to the processing of your data at any time. However, withdrawing consent may affect your participation in the project. Please contact us at ipgmi@pharmacists.ca for any requests or concerns.
Incident Response
In the event of a data breach or security incident, we will promptly notify affected individuals and relevant authorities, following established protocols.

Notice to Participants
By applying to the IPG Mentorship and Integration Project, you acknowledge that you have read and understood this Privacy Notice. Your application and participation in the project imply your consent to the collection, use, and sharing of your personal data as described above. If you do not agree with these terms, please do not apply to the project.
