Bilingual Intake Assistant – IPG Mentorship and Integration Project

Position Type: Part-time, 2-month contract with possible extension

Job Summary

The IPG Mentorship and Integration project supports unlicensed International Pharmacy Graduates (IPGs) as they work toward licensure and integration into the Canadian workforce. Through virtual mentorship, learning and networking opportunities, as well as mentored work placements, the project aims to provide IPGs with the tools and supports needed to pursue their professional goals. Welcoming both French and English-speaking IPGs and mentors, the project requires short-term support for its intake processes.

We are seeking a Bilingual Intake Assistant to facilitate the intake of IPGs and mentors into the program. The successful candidate will play a key role in screening and interviewing IPG and mentor applicants while guiding participants through the intake process with professionalism and care.

Duties and Tasks

  • Provide intake support for IPGs and mentors, mostly through virtual meetings, screenings and interviews.
  • Screen IPGs to ensure they are eligible for the project, including a visual verification of education, immigration and work status documentation.
  • Confirm and assess the readiness of IPGs for mentorship and work placements, including an assessment of their language skills.
  • Maintain accurate notes and up-to-date records of all applicants.
  • Actively listen to the needs and preferences of both IPGs and mentors, ensuring their expectations align with the project's goals.
  • Assist participants by answering any questions they may have about the program.
  • Clearly communicate the needs, challenges, and preferences of IPGs and mentors to the project team to facilitate appropriate matching and support.
  • Coordinate with the project team to ensure smooth intake and enrollment of participants.
  • Provide feedback on potential barriers or concerns during the intake process and suggest solutions to improve the experience for participants.

Qualifications

Education: Post-secondary degree or diploma, or degree or diploma in progress.

Experience: Experience in customer service, administration, or a similar role, preferably in an educational or professional training setting.

Skills

  • Fluent in both French and English, with excellent written and verbal communication skills in both languages.
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks at once.
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and virtual communication platforms such as Zoom.
  • Familiarity with the Canadian pharmacy sector or licensure process for IPGs is an asset.

Preferred Qualifications

  • Fluent in both French and English, with excellent written and verbal communication skills in both languages.
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks at once.

Salary Range

  • $25/hour - $28/hour.
